These modes allow you to pick and choose which parts of the process to run. You would only need to use this if you are testing or making changes inside of ClickUp (e.g. merging clients, moving lists between spaces etc.), or doing things like re-coding accounts/transactions, merging clients etc. in Xero.
📋 ClickUp Section
ClickUp Data Import
ClickUp data includes Spaces, Folders, Lists, Tasks, and Time Entries. This forms the foundation of your time tracking and cost data.
ClickUp Only Mode
Use this mode when you've made structural changes in ClickUp such as:
- Merging clients
- Moving lists between spaces or folders
- Reorganising your workspace structure
This mode imports only ClickUp data and skips all Xero imports and report generation.
ClickUp Skip Options
In Custom mode, you can skip individual ClickUp components:
- Skip Lists: Skip importing list data (use if you've only added time entries)
- Skip Tasks: Skip importing task data (use if you've only added time entries)
- Skip Times: Skip importing time entry data (use if nothing has changed in time tracking)
💰 Xero Section
Xero Data Import
Xero data includes Invoices and Journals (actual transactions). These provide the revenue and expense data for profitability calculations.
Important: How Invoices and Journals Work
Invoices: Loaded from scratch every time (complete refresh).
Journals: Only NEW journals are imported (incremental updates to save time and API calls).
Note: The difference in how invoices and journals work is due to the way the Xero API works.
Xero Only Mode
Use this mode when you've made changes in Xero such as:
- Re-coding transactions to different accounts
- Merging contacts
- Completing reconciliations
- Updating invoice data
This mode imports only Xero data (Invoices and Journals) and skips ClickUp data and report generation.
Invoices Only Mode
Refreshes invoice data only. Use when you've made changes to invoices in Xero but journals haven't changed.
Journals Only Mode
Imports new journals only. Use this if you've run the import, then realised you needed to do some reconciliation in Xero, and don't want to run the full report again.
Xero Skip Options
In Custom mode, you can skip individual Xero components:
- Skip Invoices: Skip importing invoice data (use if invoices haven't changed)
- Skip Journals: Skip importing journal data (use if no new transactions exist)
⚙️ Mode Options
ClickUp & Xero (Custom)
This gives you maximum control. Import from both ClickUp and Xero, but use the Skip checkboxes to exclude specific components you don't need to update. This is useful when you know exactly which data has changed.
Reports: In Custom mode, you can choose whether to generate reports by using the "Skip Reports" checkbox. Unchecked = reports will run. Checked = reports will be skipped.
Reports in Other Modes
All other Advanced Mode options (ClickUp Only, Xero Only, Invoices Only, Journals Only) automatically skip reports. After using these modes, you'll need to run reports manually using the "Run All Reports" button on the right side of the page.
🔧 Advanced Operations
Reimport All Journals
Deletes ALL existing journal data and reimports everything from scratch. This is resource-heavy and slow. Only use this if:
- You've done significant recoding of transactions in Xero
- Journal data has become corrupted
Note: You may see log entries saying zero records. This is normal. We are only importing records after the date set in the Config sheet.
Redo Journal Enrichment
Journal Enrichment associates transactions with contacts. If you want to see transactions by vendor in a specific expense account, you need to run this process for that account. The accounts are set in the config Google Sheet.
⚠️ Warning: This is very resource-heavy and may hit XERO API limits. If you hit the limit, run Journals Only on successive days until complete.
